Sales Lab is a small sales tool for keeping track of prospects and emailing them. This page explains, in plain language, what it does with your data, and especially with your Gmail.
When you sign in
You sign in with Google. Sales Lab receives your name, email address and profile picture, and uses them only to know who you are and to show your name to your teammates.
When you connect Gmail
Connecting Gmail is a separate step. If you do it, Sales Lab asks Google for three permissions:
- Send email on your behalf, to send the emails you have reviewed and approved in Sales Lab from your own address. Nothing is sent without your approval.
- Read your email, to show your incoming mail in the Sales Lab Inbox, notice replies to the emails it sent and match them to the right contact. For each new message it reads the sender, the subject, a few other headers, Gmail's short preview and the message text (not attachments), so you can read it in Sales Lab and so form emails can become leads. Mail in Gmail's Promotions and Social tabs is skipped. For mail you send from Gmail it reads only which conversation it belongs to and when, so a conversation you answered stops waiting on you.
- See your calendar (read only), so Sales Lab can list the day's meetings in Morning prep, notice meetings booked with people already in your Sales Lab, and play a sound before your meetings. It can't change your calendar.
What Sales Lab stores
- An access token from Google that lets Sales Lab act for you. It is stored encrypted.
- The Gmail address you connected.
- The list of permissions you granted.
- When you connected.
For incoming mail, Sales Lab stores the sender, the subject, Gmail's short preview, the message text (up to 20,000 characters, no attachments) and the date, so the Inbox can show and sort it; it shows the last 90 days. For emails it sends, it stores what you approved and sent. For a coming meeting with someone already in your Sales Lab, it stores the meeting's title, time and link, and which of those people is on it, where your team can see them; other meetings aren't stored.
Sales Lab also stores the contacts, notes and settings you enter or import, so you can work with them. Each company's data is kept separate from every other company's.
When you use the AI features
If your company has turned on AI, pressing an AI button (write or rewrite a draft, write your morning brief, review a deal, suggest changes from a note) sends the information that task needs to Anthropic, the maker of Claude: for example the recent emails with that person, the deal's details and notes, or today's meetings and tasks. Anthropic returns the text and does not use it to train its models. Sales Lab keeps the result and how much it cost. Nothing is sent or changed until a person approves it.
Open and click tracking
Open and click tracking is off by default. A company using Sales Lab can turn it on in Settings. Only then, each email Sales Lab sends for that company carries a tiny invisible image, and its links point to Sales Lab, which sends the reader straight on to the original page. Both are served by Sales Lab itself, never by another tracking service.
For each tracked email Sales Lab records only when it was first and last opened and clicked, and how many times. It does not record the reader's IP address, device, browser or location. Opens are approximate: some mail apps (Apple Mail, Gmail) load images by themselves, and some company mail systems check links before anyone reads the email. If you receive email sent with Sales Lab and don't want opens counted, turn off images in your mail app. To stop abuse, the server briefly counts requests per IP address in memory, for about a minute. That count is never saved or tied to an email.
What Sales Lab never does
- It never sells your data or your contacts' data.
- It never uses your data for advertising.
- It never uses your Gmail data to train AI models.
- It never shares your data with anyone, except Google (to send the emails you approve), the hosting provider that runs the app and its database, and, when you use an AI feature, Anthropic (see above).
Sales Lab's use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements.
How to disconnect
You can remove Sales Lab's access to your Gmail at any time, in either of two ways:
- In Sales Lab, open Settings and choose Disconnect in the Gmail section. Sales Lab asks Google to cancel its access and deletes its copy of the token.
- In your Google account, at myaccount.google.com/permissions, remove Sales Lab.
